About 6 months prior to your meeting, we suggest that you send a "save the
date" type of postcard or mailing. Alert your invitees that your event is
exciting and ask them to "save the date" on their calendars right now! Follow
up with the invitation and registration information about 3-4 months prior to
your event.

We'll help you to keep the excitement flowing by carrying your event theme
throughout each marketing piece and your website. Each registered attendee
should be sent a letter with details of your event, such as what to expect at
the airport, property and for weather, how to pack appropriately for your event
and recreation activities. Your meeting theme will again be delivered in this
piece. Finally, you'll want to greet your attendees with a nice welcome packet
and possibly a guest amenity that can also carry the theme of your event.
